How to Use the Tool
Step 1: Access the Tool
- Open the tool in your web browser.
- You will see a clean, intuitive interface with input fields for document details.
Step 2: Fill in the Details
- Document Name: Enter the name of the document (e.g., “Operations Manual”).
- Document Type: Select the type of document (e.g., “SOP”, “Policy”, “Design Doc”).
- Project/Department: Enter the relevant department or project (e.g., “Operations”).
- Version Type: Choose the version type (Major, Minor, or Patch).
- Change Summary: Briefly describe the changes made (e.g., “Updated risk assessment section”).
- Document Owner: Enter the owner of the document (e.g., “John Doe”).
- Uploaded By: This field is auto-populated with “Current User” (or your name if integrated with a login system).
- Approval Status: Select the status (e.g., “Approved”).
- Effective Date: This is auto-populated with today’s date.
- Next Review Date: This is auto-populated with a date one year from today.
- Change Request ID / Ticket Link: Add a reference to the change request or ticket (e.g., “CR-123”).
- Document File Link: Provide a link to the document file (e.g., a Google Drive or SharePoint link).
Step 3: Add the Version
- Click the “Add Version Entry” button to log the version. The tool will automatically generate a version name (e.g., “Operations Manual_v1.0_2023-10-25”) and add it to the version log table.
Step 4: View and Export the Log
- The version log table displays all logged versions with details like date, document name, version, owner, and more.
- Use the Export to CSV or Export to JSON buttons to download the log for reporting or sharing.
